Venue: Barcelona and Chicago
Event: InTouch with ClarifyCRM User Forum Attendance: 400 delegates The Brief: frameset was asked by Mice to provide a set solution for one main room, two breakout rooms and a ‘partner booth’ networking area for the Amdocs InTouch with ClarifyCRM User Forum 2004. The forum was being hosted in two locations: Barcelona and Chicago. The set needed to be dismantled quickly in Barcelona and then cost effectively shipped to Chicago where it was to be built again maintaining the same appearance in both venues. The Solution: A stock frameset screen was used to display video and data to the delegates. Four panels each 4.0M high x 3.6M wide were built and positioned freestanding, and two either side of the screen. A number of other smaller panels were also built and positioned around the screen to give depth to the set. All panels were constructed using smaller stock frameset panels that were fixed together to create the desired dimensions. Each panel was covered in a canvas, onto which was printed the clients branding and other artwork. A light box was specially constructed by the frameset manufacture department and fitted to an Ovington lectern covered in grey Lycra with very little modification to the lectern itself. Translucent perspex was branded and fitted to the front of the light box to create the desired effect. The same artwork was used on the printed fabric for the two 6’ x 4’6” eurosets that were used in the breakout rooms. The partner booths were created using 2.4M x 1.2M stock panels, again with full printed graphics on all sides. An ‘L’ shape was created with the panels which allowed each unit to be free standing without the need for further bracing. The Conclusion: The frameset and euroset solutions lent themselves very well to the requirements of this job. The ability to quickly pack all elements of the main room, two breakout rooms and partner booths into a small number of flight cases ready for shipping onto the next venue proved invaluable. Small flight cases containing large amounts of set equipment were easily and quickly wheeled in and out of the venues. The set could be rebuilt at the second venue using the same printed graphics as used at the first, with absolutely no wasted materials and minimal crew unlike traditional timber methods of set building. The flexible nature of the products meant that differences in breakout room sizes caused no problem to the appearance of the set. Simple on-site alterations to the equipment meant that room size and layout changes presented no problem. A huge advantage of using the lightweight frameset panels in the networking area meant that once the partner booths had been constructed, they could be easily and quickly moved to the desired location in the room without causing any damage to the graphics. This unique stand had the feel of being an expensive custom made unit but due to the use of stock items proved to be very cost effective. Product Used: Main Room consisted: 10’ x 7’6 frameset, 4 panels each 4.0M high x 3.6M wide, various smaller panels, Ovington lectern covered in grey lycra with special light box Partner Pavilion: 16 ‘partner booths’ each constructed from 4 2.4M x 1.2M stock frameset panels with minimal custom modification, all panels covered in specially printed fabric covers Each breakout room consisted: 6’ x 4’6” euroset, two 2.0M x 2.0M panels, Itchen lectern covered in white lycra
